Practical AI / use-case explorer
See what better workflows could make possible.
See how AI can connect to existing work in mid-size and enterprise organisations. Lotte is our specialist clinic product example. The other four workflows are illustrative possibilities, not completed client projects or confirmed integrations.
The four illustrative scenarios below are not presented as delivered client work. Their feasibility depends on your systems, data and agreed controls.
01 / Lotte: from incoming call to a clear next step.
The problem: a practice team cannot always pick up while helping a patient. Lotte is the AI voice agent we implement for clinics to handle incoming calls in Flemish within an agreed workflow.
- 01Incoming callA caller contacts the practice.
- 02Understand the requestIdentify the question or appointment need within the agreed practice workflow.
- 03Respond within scopeGive the agreed information or ask for clarification.
- 04Book or hand overOptional booking when enabled and supported by the calendar integration; otherwise follow the agreed route to the team.
Example product workflow. The agreed configuration varies by practice.
Practical outcome
A defined first point of contact for callers, with a clear next step for the practice.
Controls to agree
Agree allowed topics, information handling and human handover. Booking is only for practices that want it and have a suitable integration. Clinical judgement stays with the practice.

Open full-size image (new tab) ↗02 / Internal knowledge: from scattered documents to an answer with sources.
The problem: useful company knowledge is spread across documents, and people spend time finding the right version or asking the same colleagues.
- 01Approved documentsChoose the sources that may be used and keep ownership clear.
- 02Permission-aware searchSearch only within the material the person is authorised to access.
- 03Answer with sourcesPrepare an answer linked to the relevant source material.
- 04Human verificationCheck important answers and return to the source when needed.
Illustrative diagram only. This is not a live system, a completed client project or a confirmed integration.
Potential practical outcome
Potentially less searching and easier access to useful internal knowledge. The pilot should test relevance, source coverage and reliability.
Controls to agree
Define source access, user roles, retention and logging. A source citation is not a guarantee that the answer is correct; people verify important decisions.
03 / Documents: from incoming information to an approved system update.
The problem: documents arrive in different formats and people repeatedly copy information into business systems.
- 01Incoming documentReceive an agreed document type through an approved channel.
- 02Extract and checkExtract candidate fields and flag missing or uncertain information.
- 03Human approvalA person reviews the proposed information before it is used.
- 04Existing systemPass the approved information to a permitted system connection.
Illustrative diagram only. This is not a live system, a completed client project or a confirmed integration.
Potential practical outcome
Potentially less retyping and a clearer route from document to usable information. Accuracy and exception handling must be tested.
Controls to agree
Keep validation rules, reviewer responsibility and audit trails explicit. No autonomous financial posting or other sensitive action is assumed.
04 / Customer support: from a question to an answer or the right person.
The problem: teams repeatedly answer routine questions, while complex or sensitive cases need personal attention.
- 01Customer questionReceive a question through the channel chosen for the pilot.
- 02Approved knowledgeFind relevant information within the permitted support sources.
- 03Proposed answerPrepare an answer within the allowed topics and confidence rules.
- 04Answer or escalateRespond within the agreed scope or hand the case to a person.
Illustrative diagram only. This is not a live system, a completed client project or a confirmed integration.
Potential practical outcome
Potentially more consistent handling of routine questions, with people keeping ownership of complex situations. Availability and escalation are scoped, not assumed.
Controls to agree
Agree allowed topics, privacy boundaries, escalation triggers and who owns the response. Unsupported answers should not be presented as facts.
05 / Workflow integration: from a business trigger to a controlled next step.
The problem: information moves between systems through manual checks, repeated summaries and follow-up tasks.
- 01Business triggerAn agreed event starts the workflow, such as a new request.
- 02AI stepClassify, summarise or prepare a proposed next action.
- 03Approval gateA person approves sensitive or consequential actions.
- 04CRM or ERPSend the approved result through an available, authorised interface.
Illustrative diagram only. This is not a live system, a completed client project or a confirmed integration.
Potential practical outcome
Potentially fewer manual handovers and a clearer flow between systems. The actual integration depends on API access, permissions and the business process.
Controls to agree
Define the trigger, permitted actions, approval rules, failure handling and rollback. No particular CRM, ERP or connector is claimed to be supported or already deployed.
From a diagram to a working solution
What implementation includes.
A visual flow is a starting point, not an implementation promise. We first assess the use case, then define a pilot, integrations, ownership and how the solution will be operated.
Technical services and adoption
- AI strategy and readiness: objectives, systems, data quality and agreed success criteria.
- Agents, automation and integration: approved interfaces, permissions and exception handling.
- Change management and training: practical working agreements, team adoption and human handover.
- Managed support: monitoring, maintenance, escalation and a support model agreed for the solution.
Security, data and governance
- Build with NIS2, GDPR and relevant EU AI Act requirements in mind. Applicability and obligations are reviewed with your responsible teams; this is not a certification or a blanket compliance guarantee.
- Agree identity, access roles, audit trails, retention, human approvals and incident ownership.
- EU data residency can be a scoped requirement. Hosting, model providers, subprocessors, retention and cross-border transfers must be checked across the chosen stack before deployment.
A phased route to operation
- Assess: map the problem, data, systems, risks and responsible people.
- Pilot: test a bounded use case with agreed evaluation and human review.
- Scale and operate: proceed only on evidence, with controlled rollout, training and an agreed support model.
Practical questions, clear answers.
Are all these completed client projects?
No. Lotte is an existing product that we implement for clinics. The other four scenarios are explicitly illustrative possibilities, not delivered client projects, client endorsements or confirmed integrations.
Can Lotte book appointments?
Appointment booking can be included for clinics that want it, where the agreed workflow and available calendar integration support it. The setup and human handover are agreed with each practice.
Can these ideas connect to our existing systems?
That must be assessed. We review the use case, available APIs, permissions and system constraints before proposing a specific integration. The diagrams do not claim support for a particular vendor or product.
Will our data automatically stay in the EU?
No automatic assumption is made. EU residency can be a project requirement, but hosting, model providers, subprocessors and transfers must be verified across the chosen stack before deployment.
How do you keep people in control?
We agree allowed actions, data boundaries, approval points and escalation routes for each use case. Sensitive decisions remain subject to the human oversight and responsibilities defined for the project.
Where do we start?
Choose the use case closest to your challenge and contact us. We will discuss your systems, data, risks and a sensible pilot scope before any wider implementation.
We work with

A selection of organisations and brands we have worked with across AI, digital and creative projects.
Which workflow should we explore first?
Bring one real challenge. We will help separate what is useful, what is feasible and what needs a human decision.
